With the introduction of the GDPR in 2018, data protection requirements became stricter throughout the EU. Employees in the EU have the right to know what data their employer has collected about them — down to the smallest detail.

When an employee made a data subject access request, several responsible managers would create separate reports within Concur Travel and Concur Expense. They also needed to gather receipts submitted during the requested timeframe. E.ON’s HR IT team swiftly set the goal of reinventing the data information process, making it significantly more efficient, modern, and scalable. Collaborating with SAP specialists from around the world, they conceptualized, designed, developed, and rolled out the Transparency Report.

This new solution, based on SAP BTP, automates the collection of all relevant data, including user profile data, booking information, receipts, expense reports, and reimbursement details.

Employees can now request a report by simply opening a ticket. The HR administrator is notified, and with a single click, all documents from connected systems are aggregated and packed into a ZIP file. The tool automatically verifies the validity of the request. With one more click, the file is sent directly to the requester’s inbox.

What used to take at least half a day now takes less than five minutes.
